Why most candidates follow up wrong
There's a sweet spot between silent and pushy. Get the cadence right and you stay top of mind without ever being annoying.
The 24-hour thank you note
- Send within 24 hours — no exceptions
- Personalise it — reference something specific from the conversation
- Reaffirm your interest and one key strength
Subject: Thanks for the conversation — [role] Hi [Name], Thanks for taking the time to talk through the [role] today. I especially enjoyed your point about [specific thing they said] — it's exactly the kind of problem I've spent the last few years solving. I left even more excited about the role. As a quick reminder of where I can add value: [one strongest, most relevant impact statement]. Happy to share any references or follow-up materials. Looking forward to next steps. [Your name]
The 5-day check-in
- If you haven't heard back in 5 business days, send a short check-in
- Keep it to one paragraph — don't re-pitch yourself
Subject: Following up on the [role] Hi [Name], Hoping this finds you well. Wanted to circle back on the [role] — I'm still very interested and would love to know if there's anything else I can provide as you work through next steps. Thanks again for the conversation. [Your name]
The 2-week final follow-up
- If you still haven't heard back after 2 weeks, this is the last touch
- Be polite, leave the door open, don't burn the bridge
Subject: Closing the loop on [role] Hi [Name], Wanted to send one final note — I know hiring decisions take time. If the role has moved in a different direction, no problem at all. Either way, I really appreciated the conversation and would love to stay in touch for future opportunities. Wishing you and the team the best. [Your name]
Following up after a rejection
A graceful response to a rejection is one of the highest-ROI emails you'll ever send — recruiters remember candidates who handle a 'no' well, and roles open back up more often than you think.
Subject: Thanks for the update Hi [Name], Appreciate you letting me know — and thanks again for your time throughout the process. If you can share any specific feedback that would help me as I continue interviewing, I'd be grateful. If anything similar opens up in the future, please keep me in mind. Wishing you and the team the best. [Your name]
